Below are the steps for updating the monthly WP:FILM newsletter. The newsletter can be modified as desired by the editors, and the below instructions should be updated accordingly to assist with future submittals.

  1. Copy {{subst:Wikipedia:WikiProject Film/Outreach/Newsletter template|this volume number (Roman numeral)|this issue number (###)|this issue date (Month Year)|next issue number (###)|next issue date (Month Year)|your username}} and paste it into the open page for the current month's newsletter. Note that the template can be edited if changes are made to be incorporated every month.
  2. Update all of the parameters based on the previous newsletter. Prior to saving the page, it should look like {{subst:Wikipedia:WikiProject Film/Outreach/Newsletter template|VII|8|August 2011|9|September 2011|Nehrams2020}}. Once all of the parameters are set up correctly, save the page. Begin with whatever section is preferred.
  3. For upcoming films, refer to 2011 in film. The month's releases will be shown by date. Visit the article pages as the dates may have changed. Include releases, making sure to disambiguate when necessary.
  4. The DYK facts are available for viewing at Wikipedia:Recent Additions. Go through the month and copy and paste a selection of DYKs related to film. Consider using "Ctrl+F" and search for "film" or "movie" to quickly find potential DYKs to list. Click on the "edit this page" to quickly copy over the formatting of each of the DYKs to paste into the newsletter.
  5. For new members, view the history of Wikipedia:WikiProject Film/Participants/Active and review the names that were added for the past month. If they are new members (some re-join from previous roll calls), list them.
  6. For Spotlight articles, look through the lists for the month at Wikipedia:Good articles/Log, Wikipedia:Featured article candidates/Featured log, and Wikipedia:Featured list candidates/Featured log.
  7. To add main stories, look through the archives of Wikipedia talk:WikiProject Film (if necessary) as well as the current ongoing discussions. Consider adding proposals, new widespread changes to the project, announcements, new task forces, etc.
  8. The project's most popular articles (based on view count) can be seen at Wikipedia:WikiProject Film/Popular pages. It is updated at the end of the month, but if there is a delay in updating by the bot, the page has a direct link to the Wikimedia Toolserver where the list can be generated.
  9. Re-read the newsletter for any errors and make sure all of the links lead to the correct article/discussion.
  10. Update Template:FilmNewsletterArchives, Template:WPFILM Announcements, Wikipedia:WikiProject Film/Outreach/Welcome, and Wikipedia:WikiProject Film/Outreach/Current for the current month's newsletter.
  11. Go through the list of editors in the Delivery options section of Wikipedia:WikiProject Film/Outreach to determine who does not want to receive the newsletter or who wants the full version. Some editors who are not members of the project may still want a link to the newsletter. When sending the full contents of the newsletter, view the newsletter in edit mode and copy and paste everything to the user's talk page except for the categories at the bottom. Otherwise the user's talk page will be added to the newsletter category.
  12. Contact one of the newsletter delivery bots in advance to send the newsletter out to editors listed at Wikipedia:WikiProject Film/Participants/Active (except for those listed in the prior step).
